1. Introduction
Aarya Charitable Trust is a non-profit charitable organisation committed to supporting children with hearing loss through screening, medical assistance, cochlear implant support, rehabilitation, speech therapy and related charitable initiatives.
This Refund & Cancellation Policy explains the conditions under which donations made to the Trust through its website or other authorised payment channels may be considered for a refund.
By making a donation, you acknowledge that you have read and understood this Policy.
2. Nature of Donations
All donations made to Aarya Charitable Trust are voluntary contributions intended to support the Trust's charitable objectives and activities.
Donations are generally considered final and non-refundable because funds may be allocated or committed to charitable programmes, medical assistance, treatment, rehabilitation and other operational needs.
A change of mind after completing a donation does not, by itself, guarantee eligibility for a refund.
3. Circumstances in Which a Refund May Be Considered
The Trust may review a refund request in the following circumstances:
Duplicate payment: The same donation has been charged more than once because of a technical or payment processing error.
Incorrect donation amount: An unintended amount was donated due to a genuine error.
Failed transaction with debit: The donor's account was debited, but the donation was not successfully recorded or confirmed by the Trust.
Unauthorised transaction: A transaction is reported as unauthorised and is verified through the relevant payment provider or financial institution.
Other exceptional circumstances: The Trust determines, after reviewing the facts, that a refund is appropriate and legally permissible.
Approval of a refund is subject to verification, the circumstances of the transaction and applicable legal requirements.
4. Non-Refundable Donations
As a general rule, successfully completed donations will not be refunded when:
The donation has been voluntarily made and correctly processed.
The donor changes their mind after making the contribution.
The donated funds have already been allocated or committed to charitable activities.
A request is made without sufficient information or evidence to verify the transaction or the claimed error.
Where a donation receipt or tax-benefit documentation has already been issued, any refund will also be assessed in light of the applicable accounting and tax requirements.
Nothing in this section limits any refund or remedy that may be required under applicable law.
5. How to Request a Refund
To request a review of a donation refund, please email Aaryacharitablet@gmail.com within 7 calendar days of the transaction, wherever reasonably possible.
Please include the following information:
Donor's full name
Registered email address and mobile number
Donation date
Donation amount
Payment method
Transaction ID or payment reference number
Donation receipt number, if available
Reason for requesting a refund
Relevant payment confirmation or other supporting evidence
Please do not email complete card numbers, banking passwords, PINs, CVVs or other confidential payment authentication information.
Requests submitted after the above period may still be reviewed where appropriate, subject to applicable law and the circumstances of the case.
6. Review and Approval Process
Upon receiving a refund request, the Trust will review the information and may request additional documentation or clarification.
The Trust will notify the donor of its decision after completing the necessary verification.
Where a refund is approved, the Trust will initiate the refund through the original payment method wherever possible, subject to the payment provider's procedures and applicable law.
The actual time taken for the amount to appear in the donor's account may depend on the bank, payment gateway or other financial institution involved.
7. Refund Processing and Charges
Approved refunds will generally be returned to the original source of payment. The Trust will not knowingly issue refunds to unrelated third-party accounts.
Any processing charges or deductions, if applicable, will be handled in accordance with the payment provider's terms and applicable law. No deduction will be made by the Trust unless there is a lawful and disclosed basis for doing so.
The Trust cannot guarantee a specific settlement date where processing depends on an external payment provider or bank.
8. Failed or Pending Transactions
If your account has been debited but the donation confirmation has not been received, please first check your bank or payment application's transaction status.
If the donation is not reflected in the Trust's records, contact us with the transaction reference and supporting payment confirmation.
Where a transaction has failed and the amount is awaiting reversal, the reversal may be processed by the bank or payment service provider according to its applicable timelines.
9. Donation Receipts and Tax Documentation
Donation receipts and any applicable tax documentation will be issued in accordance with the Trust's records and applicable law.
If a donation is refunded after a receipt or tax-related document has been issued, the donor may be required to return, correct or otherwise appropriately account for that document.
Donors should consult a qualified tax professional regarding the effect of a refund on any tax deduction previously claimed.
